About Pacific Labour Mobility Support Program     

The Pacific Australia Labour Mobility (PALM) scheme is a signature initiative for the Australian Government that enables workers from 9 Pacific Island Countries (PICs) and Timor- Leste to work in priority sectors in Australia. The Pacific Labour Mobility Support Program’s (PLMSP) role is to provide the Department of Foreign Affairs and Trade (DFAT) and governments in 9 PICs and Timor-Leste with support to enable workers to access PALM scheme in inclusive ways that maximise the benefits for the workers and national economies while minimising risks from labour mobility participation. Palladium is contracted to deliver PLMSP on behalf of DFAT.  

This Opportunity  

The Special Projects Coordinator will be responsible for administrative and operational support to the Project Manager - Special Projects in delivering a portfolio of time-bound, high-priority initiatives that fall outside of business-as-usual operations. This role involves engaging with various internal teams across the PLMSP and liaising with external stakeholders to support the design, coordination, and delivery of these projects. The Project Coordinator will serve as a central point of contact for project communications, and will be responsible for compiling reports, maintaining project documentation, coordinating meetings, tracking progress, and performing a range of administrative functions essential to successful project delivery.  

This is a fixed term opportunity required to September 2028.

Description

The Special Projects Coordinator will be responsible for:  

  • Support design and delivery of Special Projects, including meetings and events
  • Manage correspondence, records, databases and invitations
  • Liaise across teams to gather information and ensure consistent delivery
  • Draft and monitor grant agreements, payments and financial documentation
  • Coordinate reporting, including project updates and monthly financials
  • Ensure compliance with DFAT policies and support program safeguarding
  • Contribute to communications content and foster innovation using AI and tech
  • Build strong relationships, support colleagues, promote inclusion and undertake other duties as required

We are seeking an individual who:  

  • Tertiary qualification in a relevant discipline, such as Business, Management or related discipline.
  • 3-5 years’ work experience in similar project support or management roles.
  • Demonstrated relationship management skills, including the ability to work across a broader team and with external stakeholders.
  • Excellent written and oral communications skills with demonstrated experience in using MS Word, MS Excel, MS PowerPoint, email and the Internet.
  • Ability to work independently and demonstrate sound judgement. 
  • Demonstrated commitment to diversity and inclusion, particularly in a cross-cultural context.
  • Previous exposure to, or an understanding of, Australia’s National Training System would be an advantage but not essential.
