Position Overview:
The Platform has two levels of governance.
Level 1 – Whole-of-Platform - governance arrangements aim to ensure that the mechanism efficiently and effectively carries out its functions and delivers the intended results under each Outcome.
Level 2 – Service Order - governance arrangements must ensure adequate supervision of individual programs and activities to achieve intended outcomes/results.
Whilst the FPSP sector programs are responsible for their own delivery, the Executive Support Officer will provide additional support through increased emphasis on facilitation, coordination and cross-partnership collaboration to identify collective learning and synergies and to bring a higher level of accountability to FPSP. This will be aligned with the Platform Performance Assessment Framework (PAF) and Implementation Plan to demonstrate that FPSP is performing against its mandate and internal governance requirements.
Position Summary:
The Senior Executive Officer will work closely with the Platform Leader and provide support to FPSP governance, strategic programming and operations. The Officer will support the delivery of organisation management planning and client engagement. They will bring coherence to the governance functions across FPSP providing coordinated support the Platform and Sector Programs.
Key Responsibilities:
- Provide high level secretariate support to ensure timely delivery of quality services to the Platform Management Unit and sector programs.
- Supporting the Platform Leader and leadership team to manage meetings, including the timely preparation and circulation of meeting papers so that critical matters of the Platform are addressed, and decisions made.
- Draft agendas and meeting minutes, and oversee the actioning of deliverables, delegating and communicating actions to the appropriate team member.
- Work closely with DFAT counterparts to facilitate coordination of meetings, agendas and papers.
- Bring cohesion to the overall FPSP governance agenda by working closely with colleagues to keep abreast of strategic and thematic priorities, upcoming deadlines and events.
- Ensure critical matters arising from meetings are communicated effectively and timely to key staff across the Platform and sector programs.
- Ensure that calendar entries for the governance mechanisms are up to date in the FPSP Governance meeting calendar.
- Other duties as requested by the Platform Leader.
Key Deliverables:
- A cohesive and well-functioning Secretariat aligned to strategic and thematic priorities.
- Effective and timely tracking of deliverables, milestones, risks and program progress.
- Accurate and regular updates provided to the Platform Leader.
- Delivery of a forward calendar of FPSP governance meetings as agreed with DFAT.
- Preparation of timely and high-quality agenda papers and the establishment of a functional actions register and tracking mechanism.
- Acting on the authority of the Platform Leader, seek information as required from staff, maintaining a high level of judgement, discretion and confidentiality.

Selection Criteria:
- Demonstrated similar experience, preferably with development programs/organisations.
- Well-developed and demonstrated administrative, executive support and secretariate skills to professionally and efficiently support leadership teams.
- Demonstrated ability to operate with innovation, adaptability, flexibility, and resilience to accommodate change in a complex, high-energy environment.
- Strong analytical and writing skills including the preparation of reports and briefs for internal and external stakeholder audiences, including with senior government officials.
- Experienced user of the Microsoft Office suite of software programs.
