Fiji Program Support Platform (FPSP)

Program Overview:   

FPSP, also referred to as the ‘Platform’, a Department of Foreign Affairs and Trade (DFAT) investment, will contribute to the delivery of Fiji’s national development priorities, in line with the Australia’s International Development Policy, the Fiji-Australia Vuvale Partnership and the Development Partnership Plan. 

The Platform will deliver key bilateral programs, such as health, education, scholarships, social infrastructure, governance, climate and emergency preparedness and response. Platform activities will identify and address climate risks, promote climate action, and gender equality, disability and social inclusion (GEDSI) across and beyond the sector programs.

The Platform has three functional Outcomes: 

  1. The Platform has delivered its sector program outcomes, including through supporting strategic coherence, planning, partnerships management, data and learning across the portfolio of investments.
  2. The Platform has prioritised gender equality, disability-inclusive development, and climate and disaster resilience, in its systems and practices. This includes in how it undertakes sector programming and its engagement with selected Government of Fiji (GoF) agencies.
  3. The Platform administers timely and efficient programming that is: value for money; maximises use of local supply chains; and supports good governance, and public diplomacy, effective decision making and risk management. 
Description

Position Summary:    

The Operations Assistant will play a vital role in supporting the daily operations of the Platform Management Unit. Key responsibilities include providing reliable driving services, assisting with office setup and logistics, and overseeing vehicle maintenance and fleet coordination and be part of the Platforms WHS team. The position works closely with the Facilities & Administration Officer and the Logistics and Administration Officer to ensure efficient and effective operational support.

Key Responsibilities:    

  • Provide direct hands-on operational support as required, assisting with various tasks to ensure efficient workflow within the Platform Management Unit.
  • Execute driving duties for staff, deliveries, or errands as needed, ensuring safe and timely transportation within Suva and the Central Division.
  • Oversee the setup and maintenance of office spaces, ensuring a functional and organized work environment for Platform personnel.
  • Coordinate and monitor all vehicle maintenance schedules and repairs, ensuring the fleet remains in optimal working condition.
  • Implement and manage the fleet management system, including vehicle registration, insurance, and fuel consumption tracking.
  • Conduct regular checks and inspections of all company vehicles to identify and report any issues promptly.
  • Assist with procurement of office supplies and equipment, managing inventory and ensuring availability.
  • Support logistical arrangements for team activities, events, and external meetings.
  • Support the HR team with police check payments and immigration stamps (as required)
  • Maintain accurate records related to vehicle usage, maintenance, and office assets.
  • Liaise with external vendors for vehicle servicing, repairs, and office-related services.
  • Work closely with the Facilities & Admin Officer on office infrastructure, maintenance, and general administrative needs.
  • Collaborate with the Logistics and Admin Officer to ensure seamless coordination of deliveries, inventory, and administrative processes.

Selection Criteria:    

Qualifications

  • High School Diploma or equivalent.
  • Valid and clean Driver's License with a proven safe driving record in Fiji.

Skills and Experience 

  • Minimum of 1 years of experience in a similar hands-on operations support role, including driving duties and vehicle oversight.
  • Demonstrated experience in basic vehicle maintenance coordination and understanding of fleet management principles.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Good communication skills (written and verbal) and ability to follow instructions.
  • Proactive and able to work independently with minimal supervision.
  • Ability to carry out tasks that may involve lifting, moving equipment, and extended periods of driving, with or without reasonable accommodation.
