The Role 

The Customer Service Officer/Receptionist is the first point of contact at the Pacific Australia Skills Vanuatu Country Office and is responsible for always being an excellent ambassador for the organization. The incumbent will ensure that the reception is their priority and is managed to the highest standard, ensuring that all customers (students, staff, visitors) are welcomed in a professional, friendly and efficient manner and treated with a high level of customer support – in person or on the phone.  

The Pacific Australia Skills reception is a very busy environment and requires a highly organized and capable incumbent to handle multi-tasking.  The Officer will need to be well versed with the Pacific Australia Skills courses on offer and be able to confidently provide accurate information to potential students. They will also undertake general administration tasks as required. 

 Role and Responsibilities: 

  • Meet, greet and attend to visitors, contractors and students. 
  • Answer incoming calls through skype for business and redirect calls. Take and deliver messages accurately and correctly. 
  • Screen Pacific Australia Skills enquiries inbox and redirect email to staff; follow up and track responses.
  • Arrange courier, postage and delivery for outgoing mails/ parcels as required. Register and distribute mails and correspondences according to established procedures. 
  • Manage incoming and outgoing mail and student applications by arranging delivery, registering and distributing correspondence, and forwarding applications to relevant staff for processing.
  • Deliver professional, confidential, and timely customer service by responding to enquiries and supporting the Country Director with secretarial and administrative tasks, including coordination of meetings and functions.
  • Manage office supplies by ordering and maintaining adequate stationery stock.

Selection Criteria 

Essential Experience and Knowledge 

  • Diploma level qualification in a related field or post-secondary qualification and demonstrated experience in related field. 
  • Excellent written and verbal communication skills in English and local language, excellent telephone skills, listening skills, professionalism, customer focus and organization skills including the ability to prepare papers, briefing notes, correspondence and reports. 
  • Demonstrated proficiency in administrative skills and ability to adapt established practices to achieve objectives in a busy and complex work environment. 
  • Intermediate (or advanced) ability to use Microsoft Word, Excel, PowerPoint and Outlook. 
  • Ability to work collaboratively as part of a small and dedicated team. 
  • Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies.
