Australia Awards are prestigious scholarships funded by the Australian Government to support long-term development in partner countries. The Australia Awards Philippines (AAP) program delivers scholarships, short courses, fellowships, and alumni engagement initiatives to strengthen leadership, skills, and people-to-people links between Australia and the Philippines.
About the Opportunity
Abt Global is seeking proactive and organised Support Officers (x2) to provide administrative, logistical, and coordination support for the delivery of Australia Awards Philippines scholarship interviews.
The Support Officer plays a key role in ensuring a smooth, efficient, and professional interview process. This includes coordinating interview schedules, managing applicant communications, supporting panel engagement, and organising logistics for both Manila and Davao-based interviews.
This role will also support the facilitation of interviews by managing applicant flow, coordinating venues and logistics, and assisting the panel and rapporteur during interview days. This short-term role will support interviews in Manila (6–17 July 2026) and Davao (27–31 July 2026), with travel required for the Davao sessions.
Key Responsibilities
Pre-Interview – Planning and Preparation
The Support Officer will:
- Coordinate and schedule interviews for shortlisted applicants.
- Finalise interview schedules in consultation with applicants.
- Support logistical planning, including venue bookings (interview rooms, holding rooms, and secretariat spaces).
- Coordinate catering and refreshments for panel members and basic amenities for applicants.
- Arrange IT and virtual interview requirements, including video conferencing where required.
- Support travel and accommodation arrangements for panel members, particularly for Davao-based interviews.
Pre-Interview – Applicant and Panel Coordination
The Support Officer will:
- Track applicant confirmations and manage communications, including schedules, reminders, and guidance materials.
- Support engagement of panel members, including coordinating alumni participation.
- Circulate key documentation to panel members, including interview materials, scoring guides, and applicant packs.
During Interviews – Coordination and Delivery
The Support Officer will:
- Register applicants on arrival and verify identities prior to interviews.
- Manage applicant flow, including holding rooms and virtual queues.
- Monitor interview schedules and support adherence to timings.
- Respond to disruptions, no-shows, or technical issues in line with established processes.
- Support the Panel Rapporteur and ensure panel members are appropriately supported during interviews (e.g. refreshments).

- Finalised interview schedules and coordinated logistics
- Clear and timely communication with applicants and panel members
- Smooth and efficient delivery of interview processes
- Well-coordinated interview logistics across Manila and Davao
Key Working Relationships
- Reporting to: Senior Program Officer (Scholarships)
- Internal: Australia Awards Philippines, Australian Embassy in the Philippines
- External: Interview panel members, alumni representatives, applicants
About You
To be successful in this role, you will demonstrate:
- Experience in administrative, logistics, or event coordination roles
- Strong organisational skills and attention to detail
- Experience managing stakeholder or client communications
- Ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal and communication skills
- Experience supporting events, workshops, or interview processes (desirable)
- Willingness and ability to travel domestically within the Philippines during July 2026
Remuneration
- Professional fee to be negotiated upon contracting
- Travel costs for Davao deployment (flights, accommodation, per diems) will be covered by the program
