This Opportunity
The role of Alumni and Events Officer in NCP MASS, is responsible for supporting alumni engagement and the events function and will be part of the NCP MASS Engagement, Communications and Events team. The Alumni and Events Officer is responsible for contributing to the growth of an active alumni community (including data management, professional development, networking and communications); and supporting the delivery of a range of activities and events for NCP program areas including Scholarships and Mobility for a range of stakeholders (prospective participants, university global offices, Indigenous Education Units, business partners and NCP alumni).
The role will work closely with the Alumni program area and Senior Coordinator Events and Engagement, liaises with the relevant counterparts in the New Colombo Plan Secretariat (NCS) for the Alumni and Communications team, and the wider NCS and DFAT teams as required. The Alumni and Events Officer will also work collaboratively with other NCP MASS roles/teams, including other NCP support services staff, scholarships and mobility areas, MEL and risk management, and contract management, finance and travel team. Lastly, the position will engage with relevant NCP stakeholders, including with NCP alumni, scholars, host organisations and external service providers (e.g. photographers, videographers, venue staff and caterers) as required.
The position is based in Adelaide, but applicants from other locations in Australia will also be considered. Flexible working arrangements can be accommodated, although the role is full-time
Reporting Lines and Requirements
This role reports into Manager, Alumni and Communications. Reporting requirements may include but are not limited to:

Attendance at client and team meetings, other requested meetings with stakeholders.

Regular (minimum of monthly) one to one meetings with your line manager on the status of personal performance, career development discussions and any other matters.

Primary Duties and Responsibilities
The primary responsibilities of the Alumni and Events Officer, can be broadly described as follows:

Demonstrate commitment to the contract requirements and service delivery standards for the NCP MASS program.

Effective administrative support for alumni engagement activities
-
Support the implementation of alumni engagement activities outlined in the annual workplan including the following areas: professional development and networking, alumni events, alumni engagement campaigns for existing and new alumni.

Provide administrative and operational support to the Alumni and Communications Manager in delivering a range of alumni engagement activities, including assisting with the coordination of projects and events.

Support the implementation of the Alumni Representative Program, including assisting with the annual recruitment cycle (promotion, selection, onboarding, and training), and providing ongoing support for program delivery. This includes assisting with the review of annual workplans and activity reports, liaising with Alumni Representatives on their initiatives, and supporting the funding process alongside the operations and finance team.

Provide administrative support for alumni to participate as speakers, facilitators, or contributors at events and initiatives.

Monitor the NCP alumni email inbox, ensuring all simple enquiries are responded to or redirected within two business days. Escalate sensitive or complex queries to the Alumni and Communications Manager as needed. Support the communications team in responding to alumni-related enquiries received through NCP social media channels.

Provide administrative support for new alumni, including distribution of welcome information.

Administer the closed LinkedIn group by verifying alumni status with the Data Quality Officer and admitting alumni into the group.

Work alongside the Data Quality Officer to support the accuracy and maintenance of the alumni database. This includes monitoring and managing updates received through mechanisms such as the ‘update your details’ form and alumni inbox and suggest improvements to data processes where appropriate.

Provide assistance as required to the communications team on preparing communications products and materials relevant to the alumni program.
Events and engagement support

Support the Senior Coordinator, Events and Engagement, in the planning, coordination, and delivery of a range of in-person and virtual events and activities. These may include training events, workshops, webinars and networking activities, contributing to planning activity in the lead up to the event, on the day delivery and post-event. Further details outlined below

Support with the delivery of event tasks against overarching project plans within agreed timelines.

Support with the development of event materials such as run sheets, registration forms and managing guest lists, PowerPoint presentations, name tags and briefing documentation.

Assist, as necessary, the Senior Coordinator, Events and Engagement and the operations and contracts team with procurement and purchasing processes, including sourcing quotes, liaising with suppliers, and monitoring expenses in line with relevant guidelines and procedures. Maintain accurate records for record-keeping and compliance purposes.

Provide administration support for the successful delivery of events, including on the day event tasks, coordinating and liaising with suppliers and stakeholders where appropriate.

Provide digital and virtual event support including assist with managing the virtual event platform such as MS Teams, managing recording and post-event attendance.
Other Program Duties

Assist in the development and ongoing review of Alumni Program and events documentation and resources, including SOPs and templates.

Assist with data gathering for alumni and events activity, including attendance data, budget reconciliation and lessons learning activity.
Required Skills and Competencies
Essential
- A relevant degree or qualification or demonstrated professional experience to an equivalent level (e.g. international development, project management, communications and events etc).
- Demonstrated experience in working in scholarships and awards programs or outward mobility programs, including working on or with alumni workstreams.
- Experience in supporting the delivery of in-person and virtual events and managing multiple tasks and deadlines.
- Experience establishing and managing effective relationships with key internal and external stakeholders in order to deliver outcomes and meet client and contract requirements.
- Highly developed interpersonal and communication skills, particularly regarding establishing and maintaining positive client and stakeholder relationships.
- Strong administrative and organisational skills, and a demonstrated ability to work in a team and coordinate with colleagues on delivery of activities against plans.
- Demonstrated ability to manage projects to deliver outcomes to specified quality level within agreed time frames.
- Demonstrated problem solving skills with a focus on learning and business improvement.
- Demonstrated commitment to diversity and inclusion, particularly in a cross-cultural context.
Desired
- Experience in alumni relations and leading on alumni program support and administration activities.
- Experience in organising or supporting engagement and communications activities for program stakeholders, including events management, communications and promotions campaigns.
- Experience of delivering projects in the higher education, international education or international development sectors.
- Relevant degree or qualification, such as project management, events management, communications and marketing, international development.
