The Role

The Administration & Procurement Coordinator will provide essential coordination, administrative, and procurement support to ensure the smooth implementation of activities. This role act as central point of contact between staff, partners, and stakeholders supporting both strategic planning and day-to-day operations. 

 

Roles and Responsibilities

Program Coordination

·       Assist in planning, scheduling, and tracking program activities and deliverables. 

·       Liaise with internal team members and external partners to ensure timely execution of tasks. 

·       Support monitoring and evaluation efforts, including data collection and reporting.

Administrative Support

·       Provide daily office administration, including managing supplies, maintenance, and providing support for all staff. 

·       Prepare and manage correspondence, reports, and presentations.

·       Organize and document travels, meetings, including agendas, minutes, and follow-ups.

Procurement Support

·       Coordinate end-to-end procurement activities, including preparation of RFQs, tender documentation, evaluation of selection, and contract administration.

·       Ensure all procurement activities comply with DFAT and program-specific policies, procedures, and thresholds.

·       Maintain an updated procurement tracker and regularly report procurement status to the Transition & Operations Lead and senior management where required.

 

Selection Criteria

Essential Experience and Knowledge

·       A tertiary qualification degree in Business Administration, Project Management, or related field.

·       Minimum 3 years of experience in program coordination, finance, or administrative support. 

·       Strong organizational and multitasking abilities.

·       Excellent written and verbal communication skills.

·       Proficiency in Microsoft Office.

·       Familiarity with financial systems and reporting tools. 

·       Experience working in cross-cultural settings with a strong understanding of participatory approaches. 

·       Experience working with international development projects, NGOs, or donor-funded initiatives is an advantage.
