Background

The Pacific Australia Skills Technical Skills Panel (TSP) requires administrative systems, comprehensive data management, and operational coordination support to effectively mobilize diverse training providers and consultants across 9 Pacific countries and Timor-Leste. The TSP comprises Pacific and Timor-Leste training providers, Australian RTOs including First Nations providers, specialized non-registered providers, and consultants, generating significant administrative, compliance tracking, registration support, documentation, and logistical coordination requirements.

The TSP Coordinator supports the day-to-day administration and coordination of the Technical Skills Panel (TSP), with a focus on workflow tracking, training provider communications, documentation management, due diligence follow-up, service order processing support, record keeping, and coordination. The role works closely with the TSP Manager to ensure TSP systems and processes are implemented consistently, efficiently, and in alignment with Pacific Australia Skills priorities, DFAT requirements, and DT Global systems.

The Role

The role of the TSP Coordinator is to provide effective administrative, coordination and workflow support to the TSP Manager and broader TSP function, enabling timely training provider engagement, accurate record management, smooth procurement processes, and efficient implementation of panel-related activities.

The TSP Coordinator supports operational delivery across both procurement tiers of the TSP. The role assists with market approach administration, provider correspondence, due diligence follow-up, document collation, and onboarding coordination

The role also supports requests for quotation, administrative tracking, provider communications, service order processing, records management, and monitoring inputs, ensuring that operational processes are carried out efficiently and in accordance with direction from the TSP Manager.

Roles and Responsibilities 

  • Workflow and process coordination: Support the TSP Manager to track and progress key processes and panel administration workflows, including action registers, timelines, document flow, and routine follow-up across teams and providers. 
  • Provider communications support: Prepare and coordinate routine communications with panel members and prospective providers regarding documentation, due diligence requirements, onboarding steps, requests for quotation, service order administration, and general panel processes. 
  • Due diligence and document tracking: Assist in collecting, organizing and tracking provider due diligence documentation, highlighting outstanding items to the TSP Manager and supporting the maintenance of complete and current records. 
  • Service order and procurement administration support: Provide administrative support for quotation and service order processes, including preparing documentation packs, tracking approvals, maintaining filing systems, and ensuring relevant records are captured accurately. 
  • Panel records management: Maintain accurate administrative records and databases relating to provider contact information, due diligence status, onboarding progress, service orders, activity tracking, and other key panel documentation. 
  • Onboarding and induction coordination: Support logistical and administrative arrangements for provider induction and onboarding, including scheduling, document distribution, requirement tracking, and follow-up actions for full or provisional membership. 
  • Monitoring and reporting inputs: Compile and maintain routine administrative data to support utilization tracking, status updates, and reporting, providing timely inputs to the TSP Manager and other relevant team members.

About You

Essential Experience and Knowledge 

  • Tertiary qualifications in a relevant discipline or equivalent experience and training, along with experience in the skills and training sector in Australia and the Pacific. 
  • Demonstrated experience in administration, coordination, procurement support, contracts support, or program operations. 
  • Strong organizational skills with the ability to manage multiple tasks, deadlines, and records accurately. 
  • Experience maintaining databases, document management systems, trackers, or administrative records. 
  • Clear written and verbal communication skills and the ability to work effectively with internal teams and external providers. 
  • High attention to detail and the ability to follow established processes and compliance requirements carefully. 
  • Ability to work collaboratively in a cross-functional, multi-country program environment. 
  • Cultural sensitivity and professional approach suitable for working across Pacific Island countries and Timor-Leste contexts, with appreciation for diverse communication styles, protocols, and work approaches. 
  • Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies.
