The opportunity
Australia Awards PNG supports Papua New Guinea’s development by strengthening education, knowledge transfer, and institutional capacity, while building enduring Australia–PNG relationships. The program delivers high-quality education, fosters institution-to-institution partnerships, and develops the next generation of PNG leaders.
Reporting to the Manager, Governance & Partnerships, the Secretariat Coordinator is responsible for providing secretariat and administrative support for Australia Awards PNG Governance activities. As a member of Australia Awards PNG the Secretariat Coordinator fosters continuous improvement and innovation, ensures quality delivery, and maximises possible program outcomes for Australia Awards PNG.
Key responsibilities
- Provide high-quality secretariat, administrative and clerical support to PNG Australia Alumni Association (PNGAAA) and Australia Awards PNG governance bodies.
- Coordinate meetings, events, travel and logistics, including venue bookings, invitations, RSVPs and briefings.
- Support PNGAAA election processes, onboarding of new executives, and transfer of records and resources.
- Maintain accurate records, registers, correspondence, minutes, reports and audit-related documentation.
- Manage website, email and social media updates, and liaise with stakeholders to circulate key governance communications.
- Review and update SOPs, support a safe and professional work culture, and undertake other duties as required.
About You
- Diploma qualification in administration, project management, communications, education, human resources development, or equivalent relevant experience.
- Strong stakeholder engagement, organisation and time management skills, with the ability to manage competing priorities effectively.
- Demonstrated experience in filing and managing financial transactions, including reviewing and analysing actual expenditure.
- Proven experience providing secretariat support services in a professional setting.
- Strong computer literacy, including proficiency across Microsoft Office 365 applications.
