The Role

The Travel and Logistics Officer provide support to deliver high-quality travel and logistical services for staff, counterparts, and program activities across the Pacific region. The role assists with supporting international and domestic travel arrangements inclusive of accommodation, airport transfers, visa processing, and other logistics requirements while ensuring compliance with Pacific Australia Skills policies and procedures.

The position reports to the Travel and Logistics Coordinator and may require some after-hours work from time to time. The position is based at the Pacific Australia Skills office in Suva, Fiji.

Roles and Responsibilities

Travel Support 

  • Supports the Travel and Logistics Officer with all travel bookings, including itineraries, flight changes, extended travel, and ticketing.
  • Assists with collating and supporting Country Offices with travel itineraries, flight bookings, accommodation, travel amendments, and extended travel requests.
  • Assist with visa applications, travel advances, and travel insurance claims as required.
  • Maintain confidentiality of all travel-related information.
  • Liaise and communicate with all program staff and stakeholders on travel arrangements.
  • Escalate any travel issues to reporting manager.

Logistics & Procurement 

  • Support travel safety and security checks and coordinate logistics arrangements as required. 

  • Assists with vehicle bookings, transport coordination, and maintenance of vehicle records and documentation. 

  • Supports procurement processes by sourcing quotations, preparing procurement documentation and purchase orders. 

  • Ensure documentation and filing are maintained in accordance with organizational policies and procedures.

Administration & Reporting 

  • Assists in preparing travel and logistics reports. 

  • Ensure compliance with finance, procurement, travel, and administration procedures. 

  • Contributes to maintaining accurate travel records, trackers, and filing systems. 

  • Adhere to the Operations Manual and provide updates for ongoing improvements to procedures and processes.

Stakeholder & Team Engagement 

  • Provide professional and responsive customer service to internal and external stakeholders. 

  • Maintain positive and collaborative working relationships with program teams, service providers, and stakeholders. 

  • Support Occupational Health and Safety (OHS) requirements and related administrative tasks where required. 

  • Contribute positively to team culture and organizational priorities, including GEDSI, environmental sustainability, and cross-cutting initiatives. 

  • Undertake additional duties as required to support efficient travel and logistics operations.

Selection Criteria

Essential Experience and Knowledge 

  • Minimum 3 years’ experience in travel and logistics coordination
  • Proficiency in travel booking systems
  • Strong knowledge of travel within the Pacific region and to Australia
  • Experience in development programs, ideally within a DFAT-funded context
  • Understanding of DFAT Value for Money principles and effective task prioritization
  • Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies
