The Opportunity:
As the Procurement & Logistics Coordinator, you will play a key operational role within Humanitarian Logistics Capability, supporting the delivery of humanitarian responses through end‑to‑end procurement, service order management and logistics coordination.
Working closely with internal teams, suppliers and logistics partners, you will help ensure that goods and services are sourced, ordered, transported and delivered efficiently, compliantly and in line with donor, regulatory and organisational requirements. This is an exciting opportunity to join a high‑performing humanitarian logistics team operating in complex and fast‑paced environments.
This role is open to suitably qualified applicants based in Australia, or the Pacific, with the successful candidate joining a geographically distributed team supporting regional humanitarian operations.
Your Role
- Supporting procurement activities, including supplier sourcing, obtaining and evaluating quotes, raising and managing purchase orders, and maintaining audit‑ready procurement records.
- Managing procurement activities within service orders, tracking costs, commitments and deliverables, and supporting reporting and audits.
- Coordinating inbound and outbound logistics (air, sea and road), including booking shipments, preparing and checking shipping and customs documentation, and liaising with freight forwarders and customs agents.
- Tracking shipments, proactively managing delays, and resolving discrepancies, damages or quality issues.
- Building and maintaining strong working relationships with suppliers, freight partners, warehouse providers and internal stakeholders.
- Supporting continuous improvement initiatives, including SOP development and strengthening procurement and logistics controls.
- Participating in response activations and being available to travel at short notice as required.
About You:
You are a motivated procurement or logistics professional who enjoys working in operational, fast‑moving environments. You bring strong attention to detail, a collaborative mindset, and the ability to manage multiple priorities while maintaining high compliance standards.
You communicate clearly, build positive working relationships, and are comfortable working with a wide range of stakeholders across different cultural and operational contexts. You are calm under pressure and motivated by contributing to humanitarian outcomes.
You will possess:
- Strong experience in procurement, logistics or supply‑chain coordination, including end‑to‑end purchase order management and supplier engagement.
- Experience coordinating shipments and working with freight forwarders and customs brokers, with strong attention to documentation and compliance.
- Strong administrative, numeracy and communication skills, with the ability to reconcile costs and work confidently with internal and external stakeholders.
- Experience in, or strong interest in, humanitarian logistics or emergency response in the Indo‑Pacific (highly desirable).
- Strong commitment to ethical behaviour and DFAT’s cross‑cutting policies, including gender equality, disability inclusion, PSEAH, child protection and environmental safeguards.
The Program: Humanitarian Logistics Capability (HLC)
The Australian Department of Foreign Affairs and Trade (DFAT) Humanitarian Logistics Capability (HLC) facilitates the timely, effective, and flexible delivery of the Australian Government’s humanitarian assistance and emergency relief program around the world, providing high quality, multifaceted, flexible and responsive project management and humanitarian supply chain solutions in support of Australia’s Humanitarian Emergency Relief activities.
The goal of HLC is to facilitate humanitarian action that saves lives, alleviates suffering, and enhances human dignity during and in the aftermath of conflict, disasters, and other humanitarian crises. The HLC warehouse in Brisbane maintains the largest stockpile of prepositioned humanitarian emergency relief supplies within the Southern Hemisphere, with the capacity to respond to three simultaneous crises and can support at least 11,000 families – or 50,000 people.
Tetra Tech International Development, as the Implementing Contractor for the HLC, will work closely with DFAT, other Commonwealth response capabilities, international organisations and humanitarian partners to implement HLC operations and activities across all aspects of program management and delivery.
