The Role
The Administration Officer will provide support to regional country offices and staff in facilitating the implementation of approved training plans by managing the collection and maintenance of application, student, course, admission and completion data, issuing and monitoring offers and acceptances and liaising with selected Registered Training Organisations (RTOs) on student matters.

The position is in the Regional Office, Fiji, with possibility of travel to other Pacific Australia Skills country offices when required.

The position will report to the Manager Academic Services and provides support and services to the program staff in other country locations. 

Roles and Responsibilities

  • Review applications and supporting applicant documentation data entered into application/student management systems for accuracy and process in accordance with work instructions and protocols.
  • Ensure online applications are imported appropriately into the systems as per work instructions and protocols.
  • Communicate directly with Country Office staff who have submitted incomplete applications and assist them to appropriately finalise accurate application data entry into the system.
  • Assign responsibility to relevant staff for further processing of uploaded applicant documentation including all relevant eligibility testing.
  • Arrange mobilisation and demobilisation of students to their allocated training venues in liaison with the relevant country offices.
  • Liaise with selected RTOs to coordinate student enrolment and other processes associated with the student journey and update systems with information on student progress, completion, withdrawal, etc.
  • Run exception reports in associated systems to identify data mismatches and undertake data cleansing as required.
  • Provide guidance to Country Office staff to ensure all hard copy records of application forms and supporting documentation are correctly filed and stored in a systematic manner.
  • Work closely with administration staff across the region to develop work instruction documents and protocol documents as required.
  • Where necessary, provide support for learning management system and quality management system administrative processes.
  • Provide a high level of customer service for the Pacific Australia Skills, both internally and externally.
  • Other related activities as assigned by manager.

 

Selection Criteria

 Essential Experience and Knowledge

  • Preferably Diploma level qualification in a related field or demonstrated experience in a related field.
  • Demonstrated experience working in an educational environment in a student administration or similar role.
  • Proven capacity to exercise independence and judgement in the performance of the roles and responsibilities of the position.
  • Demonstrated proficiency in data entry skills and ability to adapt established practices to achieve objectives.
  • Demonstrated intermediate (or advanced) ability to use Microsoft Word, Excel (databases) and Outlook effectively.
  • Sound written and oral communication skills in English.
  • Ability to work collaboratively as part of a small and dedicated team.

 

Desirable Experience 

  • Previous experience in the use of student administration systems/databases
  • Ability to work both independently and as part of a small and dedicated team, as well as across multiple sites
  • Experience working within an educational organisation
  • Experience working on an aid-funded project, preferably Australian Government
